This Privacy Policy explains how SimpelHR (“SimpelHR”, “the Service”, “we”, “us”, or “our”), operated by Innotia Power Nusantara, collects, uses, stores, shares, and protects personal data when you visit our website, create an account, subscribe, or otherwise use our HR management platform. By using the Service, you acknowledge the practices described in this Policy. This Policy is written to be practical for Indonesian customers under Undang-Undang Nomor 27 Tahun 2022 tentang Pelindungan Data Pribadi (UU PDP) and to provide clear, GDPR-style transparency for international readers.
1. Who We Are
SimpelHR is a cloud HR and attendance management product operated by Innotia Power Nusantara, based in Jakarta, Indonesia. For privacy inquiries, contact Official@innotia.asia or +62 813-8594-2154. Depending on the relationship, we may act as a data controller for account, billing, and website visitors, and as a processor for employee and workforce data that a customer organization uploads or manages in its SimpelHR workspace.
2. Scope of This Policy
This Policy covers the SimpelHR marketing site and web application (including English and Indonesian language interfaces), customer admin dashboards, related APIs and cloud functions we operate, and personal data processed in connection with subscriptions and support. It does not replace any separate written agreement we may enter into with a business customer.
3. Information We Collect
Account and identity data: email, display name, password credentials (Firebase Authentication), user ID, phone, profile photo, role/job title, and account status. Company and workspace data: company name, address, logo, departments, job titles, leave settings, and links between users and companies. Employee and HR operational data entered by customers: workforce records needed for attendance, leave, overtime, payslip, calendar, and reporting. Technical and usage data: device/browser information, IP address, diagnostic signals, authentication logs, and language preference. Communications: messages you send by email, phone, forms, or chat links we publish.
4. How We Use Your Information
We use personal data to create and authenticate accounts; operate company workspaces and role-based access; provide HR features; enforce employee limits on free and paid plans; process subscription requests; improve reliability; send service notices; provide support; detect abuse; and comply with law.
5. Legal Bases and Customer Responsibility
Where Indonesian UU PDP or similar laws apply, we process personal data based on contract performance, legitimate interests, consent where required, and legal obligations. When a customer uploads employee data, that organization is responsible for having a lawful basis and providing required notices to its personnel.
6. Service Providers
We use trusted providers including Google Firebase / Google Cloud for authentication, Firestore, Storage, Hosting, and Cloud Functions. Payment partners may be used when paid plans are enabled. We do not sell personal data.
7. Your Rights
Subject to applicable law, you may request access, correction, deletion, or restriction of personal data we hold about you. Contact Official@innotia.asia. If your data is managed inside a customer workspace, we may direct you to that organization’s administrator.
